Managing Team Members and Permissions

Control who can access your Loomstack workspace and what they can do with granular permission controls.

Inviting Team Members

To add someone to your workspace:

  1. Go to Settings > Team Members
  2. Click + Invite Member
  3. Enter their email address
  4. Select a role (see roles below)
  5. Optionally add them to specific projects
  6. Click Send Invite

The user will receive an email with instructions to accept the invite and set up their account.

Project-Level Permissions

For more granular control within projects, use project settings:

  • Admin - Full control of project
  • Editor - Create, edit, and delete tasks
  • Commenter - Comment on tasks, but no edits
  • Viewer - View-only access

Managing Access

To modify a team member’s role:

  1. Go to Settings > Team Members
  2. Click the member’s name
  3. Change their role
  4. Save changes

To remove a member:

  1. Click the member’s name
  2. Click Remove from Workspace
  3. Confirm removal

Former members retain read-only access to archived projects for compliance purposes.

Two-Factor Authentication

Strengthen security by requiring 2FA:

  1. Go to Settings > Security
  2. Enable “Require 2FA for all members”
  3. Members will set up 2FA on their next login

Team Member Activity

Monitor who accessed what in Settings > Audit Log. View:

  • Login timestamps
  • Project access
  • Permission changes
  • Integration activity
  • Data exports

This is essential for compliance and security monitoring.
