Inviting Your Team and Assigning Roles
Loomstack works best with your whole team on board. This guide covers sending invites, choosing roles, and organizing people into groups.
Sending Email Invites
- Go to Settings > Team Members
- Click + Invite Member
- Enter one or more email addresses (separate multiple with commas)
- Choose a role for the invitees (see below)
- Optionally select projects to add them to immediately
- Click Send Invites
Each person receives an email with a link to join your workspace. Invites expire after 14 days; you can resend from the Pending Invites tab.
Inviting with a Share Link
For larger teams, a share link is faster than individual emails:
- In Settings > Team Members, click Invite Link
- Choose the default role for anyone joining via the link
- Copy the link and share it in your team chat or onboarding docs
- Revoke or regenerate the link anytime from the same screen
Anyone with the link can join, so only share it in trusted channels.
Choosing the Right Role
Loomstack has four workspace roles:
- Admin - Full control, including billing, integrations, and member management. Reserve for 1–2 people.
- Project Lead - Can create projects and manage members within their projects. Good for managers and team leads.
- Member - Can create and edit tasks in assigned projects. The default for most teammates.
- Guest - Read-only with commenting. Ideal for clients, stakeholders, or contractors.
You can change anyone’s role later from Settings > Team Members, so start conservative and upgrade as needed.
Organizing Members into Groups
Groups make it easy to assign work and set permissions for whole teams at once:
- Go to Settings > Groups
- Click + New Group (e.g., “Design”, “Engineering”, “Marketing”)
- Add members to the group
- Add the group to projects instead of adding people one by one
When someone joins or leaves a group, their project access updates automatically.
Summary
Invite your immediate collaborators by email with the Member role, use an invite link for larger rollouts, and set up groups early — it keeps permissions manageable as your workspace grows.
