Zapier and Webhook Automations

When there’s no native integration for a tool you use, Zapier and webhooks fill the gap. Zapier connects Loomstack to over 5,000 apps with no code, while webhooks give developers full control to push Loomstack events into any system — or create tasks from external events.

Setting Up the Zapier Integration

  1. Log in to your Zapier account and click Create Zap
  2. Search for “Loomstack” as the trigger or action app
  3. When prompted, click Sign in to Loomstack and paste your API key — find it under Settings > Integrations > Zapier > Generate Key
  4. Choose a trigger event and an action, then test the Zap
  5. Turn the Zap on

Available triggers: Task Created, Task Completed, Task Status Changed, Comment Added, Project Created, Due Date Approaching.

Available actions: Create Task, Update Task, Add Comment, Create Project, Find Task.

  • Email to task: New starred email in Gmail → create a task in your “Inbox” project with the email body as the description
  • Form intake: New Typeform or Google Forms response → create a task with answers mapped to custom fields
  • Status reporting: Task marked Done in a “Releases” project → post a row to a Google Sheet for your changelog
  • CRM sync: Deal stage changed in HubSpot → create an onboarding task assigned to your success team

Creating Outgoing Webhooks

Outgoing webhooks POST a JSON payload to your endpoint whenever selected events occur:

  1. Go to Settings > Integrations > Webhooks
  2. Click New Webhook
  3. Enter your endpoint URL (must be HTTPS)
  4. Select the events to subscribe to — you can scope them to specific projects
  5. Click Create and copy the signing secret

Each request includes an X-Loomstack-Signature header: an HMAC-SHA256 hash of the raw body using your signing secret. Verify it on your server before trusting the payload.

Example payload for task.completed:

{
  "event": "task.completed",
  "timestamp": "2026-09-25T14:02:11Z",
  "task": {
    "id": "LOOM-731",
    "title": "Publish onboarding guide",
    "project": "Documentation",
    "completed_by": "maria@example.com"
  }
}

Using Incoming Webhooks to Create Tasks

Incoming webhooks let external systems create tasks with a single POST request:

  1. Go to Settings > Integrations > Webhooks > Incoming
  2. Click New Incoming Webhook and pick a target project
  3. Copy the generated URL — treat it like a password
curl -X POST https://hooks.loomstack.app/in/a1b2c3 \
  -H "Content-Type: application/json" \
  -d '{"title": "Investigate alert #4402", "priority": "high"}'

Supported fields: title (required), description, assignee (email), due (ISO date), priority, and labels (array).

Delivery, Retries, and Logs

Failed outgoing deliveries (non-2xx responses) are retried up to 5 times with exponential backoff. Review every attempt under Settings > Integrations > Webhooks > Delivery Log, where you can inspect payloads, response codes, and manually redeliver an event.

Summary

Use Zapier for quick no-code automations across thousands of apps, and webhooks when you need signed, event-level control. Generate your Zapier key or webhook endpoints from the Integrations settings, verify signatures on outgoing events, and monitor the delivery log to keep automations healthy.
