Tasks Not Syncing or Updating in Real Time

Loomstack pushes changes to every open browser tab and mobile device within a second or two. If you’re refreshing to see teammates’ updates, seeing different task states on different devices, or your own edits aren’t appearing for others, something is interrupting that live connection. This guide walks through the diagnosis in order of likelihood.

Confirm It’s a Sync Problem

First, rule out a filter issue — the most common false alarm:

  1. Check the filter bar at the top of the board. An active filter (assignee, label, date range) hides tasks that don’t match, which looks identical to “missing” tasks
  2. Click Clear filters and check whether the missing items appear
  3. Compare with a teammate: have them read a task’s status aloud while you look at the same task. If you see different values, continue below

Check the Connection Indicator

Look at the bottom-left corner of the app:

  • Green dot — live connection is healthy; skip to the “Stuck Edits” section
  • Yellow dot (“Reconnecting”) — your network is dropping the live connection; continue with this section
  • Gray dot (“Offline”) — Loomstack can’t reach the server at all

If the dot is yellow or gray:

  1. Hard-refresh the page (Ctrl+Shift+R / Cmd+Shift+R)
  2. Check whether other realtime apps (Slack, Google Docs) are also lagging — if so, it’s your network
  3. If you’re on a corporate network or VPN, ask IT whether WebSocket connections are blocked. Loomstack requires WebSockets on port 443; some proxies strip them, which forces the app into a slow polling mode
  4. Try a different network (e.g., a phone hotspot) to confirm the proxy theory

Fix Edits Stuck in the Outbox

If you made changes while offline (common on mobile), they queue locally until the connection returns:

  1. Open Settings > Advanced > Pending Changes (on mobile: profile icon > Pending changes)
  2. Any queued edits appear with a timestamp
  3. Click Retry all — successfully synced items disappear from the list
  4. If an item fails repeatedly, it usually conflicts with a newer server-side edit. Click it to see both versions and choose Keep mine or Keep server version

Clear a Corrupted Local Cache

If one specific device shows stale data while others are fine:

  1. Log out of Loomstack on the affected device
  2. In your browser, go to site settings for app.loomstack.app and clear site data (not just cookies)
  3. On mobile, use Settings > Advanced > Clear local cache inside the app
  4. Log back in — the app rebuilds its cache from the server, which takes a few seconds per project

Browser Extensions and Battery Savers

  • Ad blockers and privacy extensions occasionally kill the realtime connection. Test in an incognito window with extensions disabled; if sync works there, whitelist *.loomstack.app in the offending extension
  • On mobile, aggressive battery savers suspend background sync. Exempt Loomstack from battery optimization in your phone’s settings if updates only arrive when you reopen the app

Summary

Start by clearing filters and reading the connection dot: yellow or gray means a network or WebSocket problem, often caused by proxies, VPNs, or extensions. Retry queued edits from Pending Changes, and clear the local cache when a single device is out of step. If sync still fails on a clean incognito session and a different network, contact support with your connection log (Settings > Advanced > Download connection log).
